How to Restrict Editing of a part of a document in Microsoft word – Lock parts of a word document

If you make a word document read only, you can still allow someone to be able to edit it. In other words you can allow changes to a part of a read only document.

To restrict editing of a document follow the following steps:

 

Step 1:  open the document you want to restrict, then go to review tab and click on Restrict editing button as shown below


 Step 2. From Restrict Editing menu, tick the checkbox next to “Allow only this type of Editing in the document” from under Editing Restrictions

      


 Step 3: Now click on the dropdown menu of editing restrictions, select No Changes (Read only)

 

Step 4. Now, this documented in read only mode, but if you wish to give permission for someone, to edit a part of a document, select that part of a document you want to be edited while still the document is in read only mode

ð It can be a paragraph, a sentence, a heading etc.

ð You can select multiple part of a document hold down CTRL key and select more parts

Step 5. After selecting the part of the document you want to be edited, choose users who are allowed to edit the selected part of the document

ð If you want the selected part to be edited by any one , tick on Everyone or if you need selected users click on More users and Enter the users separated by semicolon

ð Don’t for get to use semicolon as separate , otherwise it will take as one value

ð Also make sure the email you entered is correct, because word does not verify it automatically.

ð You can add users in three ways i.e. as windows username , as active directory username (if you have one)  or you can enter email address


 Step 6. Check the box next to each user you have added as shown below

 


 ð As soon as you do this , word will automatically select the part of the document that user can edit

ð You can also manually view part of the document that user can edit by clicking on dropdown arrow next to the username or email address

Step 7 : Once you did all the above steps properly , next you have to enforce the restriction  , so click on Start Enforcing Protection , then select the protection method you want

   

ð We have two method of protection , password or user authentication

ð    If you use user authentication, you have to enter email address in user list, but using this method requires IRM (Information rights management) to be setup which can be done by signing in to office.

ð Once you finished, you will see the following window, telling you, the documented is restricted and which regions can be edited.
